About the Role
A prestigious and globally recognized luxury retail brand is seeking a highly organized, discreet, and proactive Executive Assistant to support the Managing Director. This is a confidential search, and the successful candidate will play a critical role in enabling the MD to operate at maximum efficiency. In addition to providing high-level executive support, the role will also encompass responsibilities as Office Manager, ensuring seamless day-to-day operations of the corporate office.
This role requires exceptional attention to detail, a high degree of professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Assistant Duties
- Manage complex calendar scheduling, meetings, and travel arrangements (domestic and international) for the Managing Director.
- Act as the primary gatekeeper and liaison between the MD and internal/external stakeholders.
- Prepare confidential documents, presentations, reports, and correspondence with a high level of accuracy and professionalism.
- Organize and support senior leadership meetings, board meetings, and business reviews including minutes and follow-up tracking.
- Handle confidential information with the utmost discretion and integrity.
- Assist with personal tasks and errands as required by the MD.
Office Management Duties
- Oversee all office operations to ensure a well-functioning, professional, and welcoming work environment.
- Liaise with external vendors, building management, and service providers (e.g., maintenance, IT support, pantry supplies).
- Manage office supplies inventory, facilities, and procurement processes.
- Support onboarding of new hires (e.g., desk set-up, IT coordination, welcome materials).
- Coordinate company events, meetings, and celebrations in collaboration with HR or Marketing as needed.
- Ensure compliance with health, safety, and hygiene regulations in the office.
Requirements
- Minimum 7 years of experience supporting senior executives, preferably within the luxury, retail, fashion, or FMCG industries.
- Prior experience in office management or operations preferred.
- Impeccable communication skills (written and verbal) with strong business acumen and executive presence.
- Highly organized, resourceful, and capable of managing confidential matters with professionalism and discretion.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with expense and travel management tools a plus.
- Flexible, adaptable, and capable of thriving in a fast-paced, high-touch environment.
