Executive Assistant (Regional Leadership Support)

About the Opportunity

Our client, a well-established multinational organisation, is seeking an experienced Executive Assistant to provide high-level administrative support to a team of Regional Senior Leaders based in Singapore. This is an exciting opportunity for a proactive and highly organised professional who thrives in a dynamic, fast-paced, and international environment.

You will serve as a trusted business partner to senior executives, ensuring seamless day-to-day operations while supporting regional leadership initiatives across multiple markets.

Key Responsibilities

Executive & Calendar Management

  • Manage complex calendars for a team of Regional Directors across multiple countries and time zones.
  • Coordinate internal and external meetings, both virtual and in-person.
  • Anticipate scheduling conflicts, prioritise competing demands, and proactively manage executive inboxes where required.
  • Act as the key liaison between senior leaders and internal/external stakeholders.

Travel & Expense Management

  • Arrange domestic and international travel, including flights, accommodation, visas, and detailed itineraries.
  • Manage travel-related expenses, purchase orders, and budgets.
  • Ensure compliance with company travel policies while optimising travel schedules.

Meeting & Event Coordination

  • Organise regional leadership meetings, conferences, town halls, and team events.
  • Coordinate venues, catering, audiovisual requirements, meeting materials, and agendas.
  • Prepare meeting minutes, track action items, and monitor follow-up activities.
  • Support post-event evaluations and continuous process improvements.

Administrative Support

  • Prepare and edit presentations, reports, correspondence, and other business documents.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Maintain organised records and administrative documentation.
  • Conduct research and gather information to support business decisions.

Project & Operational Support

  • Provide administrative support for regional business initiatives and special projects.
  • Identify opportunities to improve administrative processes and team efficiency.
  • Source and coordinate with external vendors for regional events and leadership activities.
  • Build and maintain strong working relationships with internal stakeholders and external partners.

Requirements

  • Minimum 6–8 years of Executive Assistant or senior administrative experience, preferably supporting regional or C-suite leadership within a multinational organisation.
  • Proven experience managing multiple executives in a fast-paced, international environment.
  • Excellent organisational, planning, and time management skills with the ability to manage competing priorities.
  • Strong interpersonal and communication skills, with confidence interacting with stakeholders at all levels.
  • High level of professionalism, discretion, and integrity when handling confidential information.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Self-motivated, resourceful, and able to work independently while collaborating effectively within a team.
  • Bachelor's degree or equivalent experience is preferred.
  • Additional language capabilities would be an advantage.
